Terms and Conditions

Effective date: 13 October 2026

These Terms and Conditions apply to use of the MedCare Hub website at medcarehubgroup.com and provide general terms for enquiries about the ORCHESTRA healthcare compliance operations platform. “MedCare Hub”, “we”, “us” or “our” refers to the MedCare Hub service brand. Contact: info@medcare-hub.com, Abu Dhabi, United Arab Emirates. Specific paid services may also be governed by a signed proposal, order form or separate agreement; where that document expressly conflicts with these general terms, it governs for the contracted service to the extent stated in it.

1. Website and service information

Website content describes services and intended platform capabilities for general information. Features, modules, integrations, availability, implementation, support and pricing are included only to the extent confirmed in a written proposal, order form or service specification. Demonstrations, sample dashboards, sample figures and illustrative workflows are examples and do not represent that every feature shown is live or included in a particular subscription.

2. No guarantee of regulatory outcomes

ORCHESTRA is intended as an operational support tool for organising compliance-related records, responsibilities, schedules, documents and workflows. It is not a regulator, legal adviser, clinical decision-maker or substitute for professional judgement. We do not guarantee that use of the platform will secure or maintain a licence, satisfy every legal requirement, prevent a fine, or result in a successful inspection. Customers remain responsible for verifying applicable requirements with competent authorities, maintaining accurate records, submitting applications, renewing licences, completing required tests and training, and acting on deadlines and alerts.

3. Accounts and acceptable use

Where accounts are provided, users must supply accurate information, safeguard credentials, manage access appropriately and notify us promptly of suspected unauthorised use. Users must not misuse the service, attempt unauthorised access, interfere with its operation, upload unlawful material, infringe third-party rights or use the service in violation of applicable law.

4. Customer data and responsibilities

Customers are responsible for the accuracy and lawfulness of data they provide, having appropriate rights and notices, and controlling authorised access. Do not submit patient-identifiable or sensitive health information unless the specific deployment and written agreements expressly permit it and the relevant legal, security, residency and authority-specific requirements have been assessed. Any required data-processing terms should be agreed separately in writing.

5. Fees, billing and taxes

Prices, billing periods, user or facility limits, setup fees, migration, training, integrations, support, renewal, cancellation and payment due dates are determined by the applicable written proposal or order form. Website prices or examples are not binding unless confirmed in writing. Applicable VAT and other taxes will be charged as required by law and shown on invoices. Payment and suspension terms for a paid service will be those set out in the applicable agreement.

6. Implementation and migration

Implementation scope, dates, dependencies, data formats, validation and acceptance criteria should be agreed in writing before work begins. Customers must have authority to export and transfer information from legacy systems. Migration may require mapping, cleansing, reconciliation and customer validation; completion is determined by the agreed acceptance process.

7. Availability and support

Unless a signed service-level agreement states otherwise, we do not promise a particular uptime, response time or uninterrupted availability. Maintenance, connectivity, third-party services, security events and circumstances beyond our reasonable control may affect access. Support scope and response commitments, if any, are set out in the applicable agreement.

8. Intellectual property

Each party retains the intellectual property it owned before the relationship. Subject to payment and the applicable agreement, a customer receives a limited, non-exclusive, non-transferable right to use the contracted service for its internal business purposes during the subscription term. Customers retain their rights in customer data. No party obtains ownership of the other party’s names, trademarks, software or documentation except as expressly agreed in writing.

9. Confidentiality and privacy

Each party should protect the other party’s confidential information and use it only for the agreed purpose, subject to disclosures required by law. Personal information is handled in accordance with the Privacy Policy and applicable law. Additional data-processing terms may apply to contracted services.

10. Suspension and termination

For paid services, subscription duration, renewal, cancellation, refunds, termination, data export and deletion are governed by the applicable order form or agreement. We may restrict or suspend access where reasonably necessary to protect the service, address a security risk, respond to unlawful use or enforce applicable contractual terms, subject to applicable law and any agreed notice requirements.

11. Disclaimers and liability

To the extent permitted by applicable law, website information and illustrative material are provided for general informational purposes, and we do not warrant that software will be error-free or that use will produce a particular regulatory, clinical or commercial outcome. Any additional warranties, liability limits, indemnities or service commitments must be expressly stated in a signed agreement. Nothing in these terms excludes liability or a right that cannot lawfully be excluded under applicable law.

12. Third-party services

The website or platform may rely on third-party hosting, communications, AI, payment or integration services. Those services may be subject to separate terms, availability limits and privacy practices. An integration is included only where expressly agreed.

13. Governing law and disputes

These website terms and any non-contractual obligations arising from them are governed by the laws applicable in the United Arab Emirates. Subject to any mandatory jurisdictional rule and any dispute-resolution clause in a signed customer agreement, disputes shall be submitted to the competent courts of Abu Dhabi, United Arab Emirates.

14. Changes and contact

We may update these terms by publishing a revised version on the website. The effective date above indicates when the current version was published. Questions about these terms: info@medcare-hub.com.
